Job Description

The Facilities and Events Coordinator, reporting to the Facilities Director, is responsible for planning and managing Michener's internal organizational events and academic setups, managing production services for external clients, and coordinating internal resources to support external events. The Coordinator is also responsible for performing cross-functional and/or other duties consistent with the job classification, as assigned or requested.

Event Planning & Project Management

  • Planning and managing internal and external events
    • Develop and execute project plans, budgets, schedules, and resource allocations.
    • Prepare reports and documentation, including; Revenue Trends, Communications and Procurement Plans, and post-event evaluations.
    • Schedule debriefs to analyze lessons learned and improve future events.
    • Collaborate with Communications on event-related collateral.
    • Support Management with event briefs, backgrounders, and key messages.
    • Oversee production services and rental equipment for external clients.
    • Draft contracts for external facility and service rentals.
    • Drive continuous quality improvement in event coordination.
    • Coordinate internal events like Convocation, Awards Ceremonies, Staff Recognition, and more.
  • Planning and managing classroom, lab, and simulation setups
    • Develop and refine operational process maps
    • Liaise with internal user base to plan and prioritize facility utilization
    • Oversee facility setups to ensure consistency
    • Collaborate with CETL Simulation Education Specialist on simulation resources and development.

Coordinate and Support Facilities Team

  • Regularly meet with internal contractors (security, housekeeping, building operations) to review building matters and daily events to ensure proper execution of daily assignments that impact student services, operational and maintenance items
  • Identify continuous quality improvement opportunities for internal facility stakeholders
  • Other duties as assigned

Qualifications

  • Minimum education requirement of bachelor degree and/or post-graduate certificate in Project Management, Event Management or Business Administration
  • Minimum 3 years of related experience project/event management role
  • Strong planning and Project Management skills
  • Strong communication and interpersonal skills
  • Strong financial and administrative management skills
  • Ability to manage multiple priorities and deadlines
  • Facilities management-related experience is an asset
  • Strong organizational skills
  • Strong computer skill especially in MS Office and Adobe
  • Excellent problem solving skills
  • Experience with Customer Relationship Management (CRM) software and relational databases (SQL, Access, etc.) an asset
  • Satisfactory Canadian Police Clearance document required upon hire
