Job Description

(Internal Title: Project Administration II)

  • Responsible for receiving, reviewing for completeness prior to forwarding for technical review, and tracking all submittals to multiple internal/external reviewers to ensure complete and timely responses
  • Responsible for reviewing testing and commissioning submittals and scheduling and coordinating commissioning of newly installed equipment in accordance with manufacturer's instructions and Contract Document requirements
  • Responsible for reviewing training submittals and scheduling and coordinating operational and maintenance training, ensuring that documentation and training records are complete, as well as organizing, reviewing and distributing close out documentation
  • Review Contractor submissions for conformance with the Contract Documents prior to sending for technical review by the Designer
  • Review submissions after review by the Designer, for conformance with the Contract Documents prior to sending back to the Contractor
  • Review commissioning and training submittals
  • Track, monitor and expedite submittals to ensure they are reviewed and returned within the specified times
  • Assist the Construction Site Manager (CSM), and Construction Engineers with preparation of minutes of meeting, various reports, tracking of outstanding RFIs. CDRs, Site Safety Observations, etc.
  • Administer any hardcopy correspondence needs (mail, priority post, packages, courier services)
  • Organize adequate supplies of office stationery, general office supplies, and other equipment
  • Complete any tasks assigned by Project Administration III or higher in an efficient and timely manner

Qualifications

  • Experience:
    • Minimum of 3 years of experience in Construction Management
  • Education:
    • High school diploma or GED
    • Registered for and actively seeking a Diploma in Business Administration or similar
    • Must acquire a JHSC certification if elected as a worker member of the JHSC
  • Skills and Competencies:
    • Proficient at reading drawings and schematics
    • Must have demonstrated experience relaying and receiving information to and from all levels of management (written and verbal)
    • Strong organizational, interpersonal skills
    • Effective skills in MS Office
    • Competent administrative and data accuracy
    • Strong attention to detail
    • Keen eye for detail and adept problem-solving abilities
    • Competent in identifying tasks and duties to take onboard to offload and support management
