This position is a hybrid role based in our Mississauga office with the opportunity to work 2 days remotely per week

Position Overview: We are seeking a detail-oriented and dynamic Senior Event Planner to coordinate and manage both local and international events for internal teams and external vendors. The successful candidate will work closely with the account management team, vendors and other stakeholders to execute engaging events. This role involves providing expert guidance on venue selection, budgeting, and logistical planning to ensure seamless event execution. The ideal candidate will excel at handling multiple projects simultaneously and delivering high-quality events that align with organizational goals.

Key Responsibilities:

  • Plan, coordinate, and execute local and international events including tradeshows, president's club, vendor events, company socials, sales kickoff, corporate meetings, and other high-impact business functions that align with company objectives.
  • Organizes and plans logistics (e.g., facility selection, menu planning, transportation arrangements, and audio/visual equipment) for organization meetings and special events.
  • Collaborate with cross-functional teams to understand event objectives and tailor event plans accordingly.
  • Negotiate contracts with vendors, suppliers, and venues to secure favorable terms.
  • Oversee event timelines, ensuring all deliverables are met within set deadlines.
  • Manage on-site event operations, including setup, execution, and breakdown.
  • Identify and mitigate potential risks to ensure smooth event execution.
  • Conduct post-event evaluations to measure success and gather insights for future improvements.
  • Travel for event coordination as needed, with primary travel within the Greater Toronto Area (GTA) and occasional international travel (approximately 25%).

What you bring to the role:

  • Diploma or bachelor's degree in Event Management, Hospitality, Project Management, or a related field.
  • Minimum of 8+ years of event planning experience, including both local and international events.
  • Proven experience in planning and executing corporate events, conferences, and meetings.
  • Strong project management skills with the ability to multitask and prioritize and budget effectively.
  • Possesses strong experience with the MS Office Suite and other event management platforms, such as Cvent would be an asset.
  • Must hold the Certified Meeting Professional (CMP) designation.
  • Must be able to provide exceptional service and prioritize building strong relationships with clients and leadership by being personable, attentive, and focused on meeting their unique needs.
  • Must demonstrate proactivity, resourcefulness, strong organizational skills, and adaptability.
  • Excellent communication and negotiation skills.
  • Flexibility to travel for event coordination as needed.
