Job Summary
The Department of Housing and Campus Connections of Dalhousie University consists of Residence Operations (Facilities Management, Front Desk staff and Security for 2400 students residing across 16 residences), Conference Services, Off Campus Housing, University Food Services (residence dining, retail food, catering and snack vending), DalCard Business Operations and UPass. Reporting to the Director, Event and Conference Services, the Event and Conference Coordinator is a key member of the three-person Conference Coordinator team with a focus on guest accommodation (individual and group) on the Halifax campus while assisting with other client group responsibilities as may be required to achieve the goals and expectations of the team.
Key Responsibilities
  • Coordinate accommodation-only clients, including bedroom reservation inquiries via phone and email, conducting site tours, preparing summer business building packages, and ensuring accurate inventory of all department supplies and summer business materials.
  • Ensure a high level of customer service for each client and vendor partner. Provide customer service and in-person welcome desk coverage for all department clients and inquiries and referrals. Handle departmental email and voicemail accounts, returning messages and directing inquiries as appropriate.
  • Coordinate inventory levels for BnB, Expedia, and Booking.com. Provide online accommodation booking setup for clients.
  • Assist with the Summer Residence program ($300,000+ annually); respond to all inquiries and facilitate registration. Coordinate room assignments and student move-in/move-out procedures. Build online registration pages to collect registrants. Monitor registration levels and revenue intake.
  • Ensure client portfolios are reconciled and audited for completeness, including all pertinent information and requirements have been processed, payments collected, and complaints or concerns addressed.
  • Complete daily cash and debit/credit deposits for payments. Process student facilities fines and withdrawals. Add and remove meal plans for summer residence students.
Note
Provide on-call support as part of a rotating team via cell phone after hours and on weekends for building-related issues regarding clients, facilities, or systems. Compensation will be in accordance with the collective agreement.

Due to operational requirements, the successful applicant is required to work in-person on campus.
Required Qualifications
  • Business/Administrative Professional diploma with three to five year's relevant experience (or equivalent combination of training and experience).
  • Proficient microcomputer (Word, Excel, and Outlook) skills with the proven ability to learn new technology and systems.
  • Demonstrated strong customer service, interpersonal and communication (verbal and written) skills.
  • Strong organizational and time management skills with excellent attention to detail.
Assets
  • Understanding of the university environment and direct experience in a conference and events or residence community.
  • Experience in the following systems: Banner Accounts Receivable, Banner Student Module, KX, OneCard, Access.
