Reporting to Manager, Transformation, the Project Coordinator is responsible for providing essential administrative, logistical, and coordination support to the Transformation Management Office (TMO) and project teams.
This includes various department support activities, compiling and analyzing data, maintenance of information in the document management system, coordinating information and activities with project team members (inclusive of action tracking, following up, and documenting outcomes), and ad hoc projects as assigned by the manager. Support of timely and accurate project coordination and documentation will support decision-making and drive the overall success of the TMO.
The role offers the opportunity to shape the organization of meetings, refine reporting formats, and develop effective communication plans, all informed by team feedback and requirements. This position does not require travel but does require the successful candidate to work in-office at least four days per week.

Project Administration: Create, maintain and update project documentation, including but not limited to the project calendar and org chart. Ensure that project information is current and accessible to team members
Meeting Coordination: Schedule, organize, and facilitate project meetings, including preparing agendas, capturing minutes, and tracking action items to ensure productive outcomes and advancement of strategic priorities and initiatives
Reporting & Communication: Assist in the preparation of project reports and communications (memoranda, presentations, other), including collecting, compiling and analyzing data related to project progress, key risks, and issues
Engagement Support: Serve as a point of contact for project teams and collaborators, ensuring effective communication and coordination
Risk & Issue Tracking: Monitor project risks and issues, ensuring that they are properly documented and raised to the appropriate parties as needed
Document Control: Ensure proper management, version control, and archiving of all project-related documentation
Logistical Support: Assist with logistics for project workshops, meetings, and events, ensuring all participants have the resources they need to succeed
Continuous Improvement Support: Identify areas for improvement in project execution, governance, and processes
Project Coordination Skills: Experience in planning and driving project coordination activities, managing schedules, balancing multiple priorities, and supporting multiple workstreams
Communication: Strong verbal and written communication skills, with the ability to prepare clear reports and facilitate effective meetings
Time Management: Ability to prioritize tasks based on comparative importance and vitality, ensuring that tasks are completed on time and with high quality
Problem-Solving Skills: Ability to identify and raise issues in a timely manner and assist the project team in finding solutions
Technical Proficiency: Familiarity with project management concepts and software (e.g., MS Project, Primavera), document management tools, and collaboration platforms (e.g., SharePoint, Teams)
Detail-Oriented: Strong focus on accuracy and attention to detail in project tracking, reporting, and documentation
Organized: Ability to manage multiple tasks, priorities, and schedules in a fast-paced, dynamic environment
Proactive: Takes initiative to anticipate the needs of the project team and address issues
Collaborative: Great teammate who works well with others, supporting smooth collaboration and communication across teams
Reliable: Consistently meets deadlines and delivers high-quality work
Minimum 7 years of experience in administrative or project support to technical or project personnel
A diploma or certificate in business administration or a related field
Strong skills in the area of business processes and administration are essential
Strong interpersonal skills, as well as strong written and verbal communication abilities
Proficiency in Spanish is considered an asset
Knowledge of document and information management
Proficient in MS Word, Excel, PowerPoint, Outlook, Internet Explorer and Visio and advanced in SharePoint
Independent, self-motivated and able to take the initiative to liaise with other departments and/or external sources
Previous experience in technical writing
Excellent organizational and planning skills with the ability to prioritize multiple tasks
Good critical and conceptual thinking skills
Knowledge of the mining and or construction industry would be considered highly valuable

Salary Range: $79,000 - $98,000
The actual base salary offered is determined based on the successful candidate's relevant experience, skills, and competencies and considers internal equity.
