As such, the requirement to continuously improve quality and safety, including Indigenous Cultural Safety, is inherent in all aspects of this position.

Reporting to the Manager, Indigenous Employee Experience, the Administrative Coordinator is a key contributor to the success of the Sanya'k̓ula team. The Administrative Coordinator is responsible for providing comprehensive administrative support across the portfolio, assisting the Director, Sanya'k̓ula, the Manager, Indigenous Employee Experience, and the Executive Director, Sanya'k̓ula. This role involves managing a variety of tasks, such as coordinating projects, organizing meetings and events, preparing materials, tracking expenses, aiding in newsletter development, and responding to inquiries from internal and external partners. The Administrative Coordinator also plays a crucial role in supporting Indigenous Employee Experience programs by assisting in the development, implementation, and evaluation of initiatives designed to foster a culturally safe and inclusive environment. Through their work, the Coordinator contributes to the overall goal of creating a thriving Indigenous employee community at PHSA and advancing Indigenous-specific anti-racism and cultural safety within the organization.

The Sanya'k̓ula team is part of a new and innovative Indigenous led team that works towards dismantling and disrupting white supremacy throughout People & Culture and PHSA. The Sanya'k̓ula team continually works to eliminate Indigenous-specific racism and enhance/embed Indigenous cultural safety and humility across PHSA and the health system. The Sanya'k̓ula team works provincially throughout B.C. PHSA is a remote work friendly employer, welcoming flexible work options to support our people (eligibility may vary, depending on position).

What you'll do

  • Provide Comprehensive Administrative Support: Assist the Director, Sanya'k̓ula, the Manager, Indigenous Employee Experience, and the Executive Director, Sanya'k̓ula, by managing day-to-day administrative tasks, including organizing meetings, events, and travel arrangements. Prepare, edit, and distribute documents, reports, and materials for various initiatives and programs.
  • Coordinate Projects and Initiatives: Support the planning, implementation, and evaluation of Indigenous Employee Experience programs. Assist in tracking project timelines, deliverables, and outcomes to ensure alignment with the team's objectives and PHSA's strategic priorities around Indigenous-specific anti-racism and cultural safety.
  • Facilitate Communication and Knowledge Exchange: Act as a central point of contact for internal employees and partners, responding to inquiries and disseminating information regarding Indigenous Employee Experience programs. Aid in the development of newsletters and communication materials to keep the Indigenous employee community informed and engaged.
  • Identify, Collect, and Analyze Relevant Information: Gather, analyze, and provide input on relevant information, including confidential employee data, to support the work of the Sanya'k̓ula team. Collaborate with leadership and other team members to inform the development, implementation, analysis, and dissemination of findings related to Indigenous Employee Experience initiatives, ensuring they align with PHSA's strategic goals.
  • Prepare and Compile Confidential Business Documents: Create and compile confidential and sensitive business reports for internal and external partners, including senior leadership. Participate in management meetings as required, providing input and recommendations based on collected data and program evaluations.
  • Maintain Internal Indigenous Employee Experience Pages: Regularly update and manage the internal Indigenous Employee Experience web pages to ensure they provide current, relevant information and resources, reflecting PHSA's commitment to Indigenous Cultural Safety and employee support.
  • Manage Indigenous Employee Network Databases: Maintain and update the Indigenous Employee Network databases, ensuring all data is managed in accordance with First Nations Principles of OCAP and PHSA's privacy policies and confidentiality standards.
  • Track Expenses and Budget Management: Monitor and track expenses related to Indigenous Employee Experience programs and initiatives. Assist with budget preparation, expense reporting, and variance analysis to support effective resource management within the portfolio.
  • Support Indigenous Employee Experience Programming: Assist in the development and refinement of programs designed to foster a culturally safe and inclusive environment. Provide administrative support for workshops, training sessions, and other initiatives aimed at promoting Indigenous cultural safety and advancing the goals of the Sanya'k̓ula team.
  • Organize Meetings and Events: Coordinate logistics for meetings, events, and gatherings, including scheduling, preparing agendas, taking minutes, and ensuring appropriate follow-up. Support the team in engaging with internal and external partners, including Indigenous communities, unions, and health authorities.
  • Monitor Sanya'k̓ula Inbox: Address the inquiries of internal Indigenous employees and People & Culture teams by assessing and triaging requests as necessary. Provide timely support and facilitate communication to ensure efficient resolution of issues, maintaining a culturally safe and supportive environment.
  • Contribute to Continuous Improvement: Identify opportunities for process improvements within administrative and program coordination tasks. Work collaboratively with the team to enhance program effectiveness and streamline administrative processes that support the advancement of Indigenous-specific anti-racism within PHSA.
  • Maintain Confidentiality and Data Management: Handle sensitive information with discretion, ensuring confidentiality in all matters related to Indigenous employee data, program evaluations, and internal communications. Maintain accurate records and documentation, ensuring compliance with PHSA policies and privacy regulations.
  • Uphold PHSA's Commitment to Indigenous Cultural Safety: Embody the principles of the Coast Salish Teachings and PHSA's strategic directions in all aspects of the role. Actively support initiatives aimed at eliminating Indigenous-specific racism, fostering diversity, equity, and inclusion, and creating a safe and thriving work environment for Indigenous employees.
  • Engage with the Sanya'k̓ula Team: Collaborate with the Sanya'k̓ula team to contribute to the overall success of Indigenous employee experience initiatives. Support the team in dismantling and disrupting white supremacy within PHSA, aligning work with the organization's commitment to Indigenous-led leadership and cultural safety.

What you bring

Qualifications

  • A level of education, training, and experience equivalent to a university degree in a health-related discipline or relevant field plus two (2) years of experience related to health promotion activities.
  • Knowledge of health and wellness issues found in a healthcare environment and an understanding of the impact a healthy workplace and life style has on work performance.
  • Excellent written and verbal communication skills including the ability to draft proposals and make formal presentations. Project management skills and experience are necessary.
  • Strong organization skills, flexible to changing priorities and able to work independently as well as in a team environment. Must be goal- and detailed-oriented.
  • Highly developed critical thinking and problem solving skills. Communication on health promotion programs requires the incumbent to be creative and positive in presentation of subject material and methods used to reach target audiences.
  • Travel within the Lower Mainland may be required.
  • Lived Experience: Lived experience as an Indigenous person with a comprehensive understanding of Indigenous cultures, protocols, and traditions in British Columbia.
  • Education and Experience: A level of education, training, and experience equivalent to a bachelor's degree in health or social science, Human Resources, Indigenous Studies, or a related field, plus a minimum of three (3) years of recent related experience. An equivalent combination of education and experience acquired through working in Indigenous communities and organizations will also be considered.
  • Understanding of Settler Colonialism and Systemic Racism: Demonstrated knowledge of the historic and ongoing impacts of settler colonialism on Indigenous Peoples in social and health contexts. This includes understanding how these factors contribute to current health disparities and barriers to care. Supported by significant knowledge of Indigenous-specific mandates, including a clear commitment to eradicating Indigenous-specific racism and discrimination while embedding Indigenous Cultural Safety and Humility. Familiarity with recognizing personal biases, institutional barriers, and actively engaging in anti-racism education, training, and systemic advocacy.
  • Knowledge of Legislative Obligations: Demonstrated understanding of provincial and legislative obligations within health care, as outlined in key foundational documents, including the Truth & Reconciliation Commission's Calls to Action (2015), In Plain Sight (2020), BC's Declaration on the Rights of Indigenous Peoples Act (2019), the United Nations Declaration on the Rights of Indigenous Peoples (UNDRIP), Reclaiming Power and Place: Missing and Murdered Indigenous Women & Girls Calls for Justice (2019), the Declaration Act Action Plan, Remembering Keegan: A First Nations Case Study, the BC Human Rights Code, the BC Anti-Racism Act, and the Anti-Racism Data Act. Understands how these legislative frameworks intersect with health care practices and systems.
  • Anti-Racism and Cultural Safety: Brings a deep understanding of Indigenous-specific racism and broader systemic racism present in colonial health care structures. Has demonstrated initiatives in breaking down barriers and ensuring a safe environment informed by Indigenous Cultural Safety, fostering a sense of belonging for all employees.
  • Awareness of Social Determinants of Health: Demonstrates foundational knowledge of the social, economic, political, and historical realities of settler colonialism on Indigenous Peoples and equity-deserving groups within social and health contexts. Understands the impact of social determinants on health outcomes and is familiar with key legislative commitments (The Declaration Act, the Declaration Action Plan, TRC, In Plain Sight, Remembering Keegan, etc.).
  • Commitment to Personal Learning Journey: Shows a commitment to beginning and/or continuing their personal learning journey related to Indigenous-specific racism and dismantling systems of oppression, as well as addressing racism more broadly. Willingness to articulate and share their learning experiences to contribute to a culture of motivation and inspiration among peers.
  • Project Management and Data Handling: Practical skills in project management, including the ability to coordinate and support the development, implementation, and evaluation of Indigenous Employee Experience programs. Experience in handling confidential and sensitive employee information, including data management in compliance with privacy policies and the First Nations Principles of OCAP.
  • Administrative and Organizational Skills: Excellent organizational skills with the ability to manage multiple priorities, coordinate events, meetings, and projects, and track expenses. Strong proficiency in relevant computer software applications, document management, and communication platforms.
  • Communication and Collaboration: Strong oral and written communication skills, including the ability to draft proposals, develop newsletters, and prepare reports for a variety of internal and external stakeholders. Demonstrated ability to work collaboratively with a wide range of internal partners, including Indigenous communities, unions, and health authorities.
  • Adaptability and Independence: Ability to work effectively both independently and as part of a team, demonstrating flexibility in response to changing priorities within a dynamic environment.
  • Travel Requirements: Ability to travel as required. A valid B.C. Driver's License is necessary.

Job Type: Temporary Full-Time (until June 30, 2025)
Salary Range: $62,239 - $89,469/year. The starting salary for this position would be determined with consideration of the successful candidate's relevant education and experience, and would be in alignment with the provincial compensation reference plan. Salary will be prorated accordingly for part-time roles.
